Our take

Webex is the right answer to a specific question: 'What video conferencing tool do we use when compliance, security, and government certifications are non-negotiable?' FedRAMP authorization makes Webex mandatory for many US government agencies and contractors. HIPAA, GDPR, and SOC 2 Type II compliance cover regulated healthcare, finance, and legal environments where Zoom's compliance posture requires more verification work. The trade-off is clear: Webex is harder to use than Zoom or Meet, the pricing is less transparent, and the app feels more complex than the meeting experience requires. Slido (acquired 2021) is genuinely best-in-class for audience interaction in large meetings and webinars — polling, Q&A, quizzes, and word clouds are more sophisticated than what Zoom or Teams offer natively. For non-regulated organisations choosing Webex over Zoom or Meet, the justification is thin — the experience gap doesn't justify the price premium unless Cisco hardware and telephony are part of the procurement.

Product roadmap

Cisco is betting Webex's future on security differentiation and the enterprise hardware ecosystem. The Cisco Desk and Board series rooms hardware is strong, and the Webex/Meraki/Cisco network integration creates a full-stack enterprise pitch. AI Assistant keeps improving but remains a step behind Zoom AI Companion and Microsoft Copilot in capability. The consumer mindshare war is largely lost — Webex wins on enterprise compliance and hardware, not on experience.

Who is Webex for?

Solo(1 person)

Poor fit

Webex is over-engineered for solo use. The free plan is functional but Zoom, Meet, or Whereby offer simpler experiences. Solo operators in regulated industries (healthcare, legal) may need Webex for HIPAA compliance — otherwise, look elsewhere.

Small team(2–20 people)

Mixed fit

Small teams that don't have compliance requirements should choose Zoom, Teams, or Meet. Webex's pricing and complexity aren't justified without the compliance angle. Small regulated businesses (telehealth, financial advisory) may have no choice.

Mid-size(21–200 people)

Good fit

Mid-size regulated businesses — healthcare groups, government contractors, financial services firms — get real value from Webex's compliance posture. The security controls and certification coverage justify the premium over consumer-grade tools.

Great fit

Enterprise Webex with Cisco hardware, Calling, and network integration is a complete communications stack for large organisations with strict security requirements. FedRAMP, dedicated infrastructure, and Cisco's support organisation are the differentiators at this scale.
